Privacy notice
The rail safety educational resources shared on the Switched On website, switchedonrailsafety.co.uk, are provided for free by Network Rail, on behalf of the rail industry. These resources are ready made for educators to deliver in schools, to young people aged 3-16yrs.
To ensure we can continue to deliver these resources, we need to understand how and where they are being used. We therefore require a small amount of information to allow us to track how the resources are being used. This information is anonymised in our reporting.
Network Rail own the website and resources, and partner with We. Communications who run the website on our behalf and develop the resources.
Data protection legislation is there to make sure we keep your information safe. We take your right to privacy seriously and want you to feel comfortable with the information we have access to and how we plan to use it.
This privacy notice explains how Network Rail Infrastructure Limited and our partner We. Communications use your personal information. Personal information is information that is about you and which identifies you. This notice explains who is responsible for the personal information that we collect about you, what personal information we collect, how we will use such personal information, who we may disclose it to and your rights and in relation to your personal information.
Network Rail will be the data controller for the purpose of data protection law, in respect of your personal information collected or obtained as outlined within this privacy notice. This is because we dictate the purpose for which your personal information is used and how we use your personal information. We. Communications are the data processor.
- What and how we collect information about you?
We collect your information through the registration form at switchedonrailsafety.co.uk. We request your name, email, role, schools’ name, schools’ postcode, how many young people you will reach with the resources and ask where you heard about the site. This information helps us to evaluate content to make sure it meets the needs of educators and their pupils, and continue to deliver high quality, engaging resources.
- Who is responsible for the information held and how will we use it?
We. Communications collate the data on behalf of Network Rail, and share this data with Network Rail to confirm how many schools and pupils are reached with the resources. We. Communications also monitor the uptake of resources in our youth trespass hotspot locations, utilising the postcode data.
- Legal basis for using your information
In order to process this personal data, Network Rail is relying on our legitimate interests lawful basis to process any personal data.
- Who will Network Rail and We. Communications share your personal information with?
We will never sell or share your personal information with organisations for any other purpose.
- How will Network Rail and We.Communication store and protect your personal information?
Your personal information will be stored securely in OneDrive by We. Communications, with access restricted to individuals who require it for operational purposes. When data is shared with Network Rail, or vice versa, it is done using password-protected files and secure SharePoint links to ensure confidentiality and integrity.
We have strong security measures in place to prevent your personal information from being accessed and misused.
We have procedures in place to deal with any suspected personal data breach and will notify you (and the regulator) of a breach where we are legally required to do so.
This data is not processed outside the European Economic Area (EEA).
- How long will Network Rail keep your personal information for?
Your data will be retained for 36 months, after which we will contact you to reconfirm your consent or delete the data securely. This privacy notice compliments Network Rail’s broader data protection policies and does not override them.
